Terms & Conditions

By booking or availing of any service from Baby Snapz Studio, the Client confirms that they have read, understood, and agreed to the following Terms & Conditions. These policies are designed to ensure a safe, professional, and consistent photography experience.

1. BOOKING & DOWNPAYMENT POLICY

A non-refundable downpayment is required to secure your booking date and time. This serves as a reservation fee and will be deducted from the total package amount.

Downpayments are strictly non-refundable, except if the Studio cancels the session due to internal reasons.

False or fraudulent bookings are strictly prohibited and may result in cancellation and permanent restriction from future services.

2. PAYMENT TERMS

Full payment of the remaining balance must be settled after the session.

Final edited images, prints, and digital files will only be released upon full payment.

3. RESCHEDULING & CANCELLATION POLICY

We understand that unexpected circumstances may occur. However, each reserved schedule is exclusive and time-bound.

Free Rescheduling

One (1) complimentary reschedule is allowed if requested at least 3 days before the session date.

Example:
If your session is on January 5, the last day to reschedule is January 2.

One-Time Use Only

Each booking is entitled to one (1) free reschedule only. Succeeding changes will incur fees and are subject to availability.

Late Rescheduling

Requests made within 3 days of the session will incur a 30% rescheduling fee based on the package price.

Same-Day Rescheduling

Same-day changes require full settlement of the remaining balance plus a 30% rescheduling fee and are subject to approval.

No-Show Policy

Failure to attend the session without prior notice will be considered a “No-Show.” The downpayment will be forfeited and no refund or rescheduling will be granted.

Emergency Cases

Complimentary rescheduling may be granted for verified emergencies such as:

-Medical emergencies (with proof)
-Severe weather conditions
-Government-issued safety advisories

Approval is required and limited to one occurrence per booking.

4. STUDIO-INITIATED RESCHEDULING

If the Studio must reschedule due to unforeseen circumstances, the Client may choose:

To reschedule without penalty, or
To request a refund of the downpayment (no further rescheduling will be allowed)

5. FORCE MAJEURE

The Studio shall not be held liable for delays, cancellations, or disruptions caused by events beyond reasonable control, including but not limited to natural disasters, power interruptions, accidents, or emergencies.

Sessions will be rescheduled to the next available date.

6. GENERAL STUDIO EXPERIENCE POLICY

Sessions are conducted within the booked time and follow a structured workflow.

Clients must arrive at least 10 minutes before the session
Sessions begin and end strictly on schedule
Late arrival beyond 30 minutes may be considered a No-Show
Setup, posing, soothing, and outfit changes are included within session time

7. GUEST & STUDIO CAPACITY POLICY

To maintain a safe and focused environment:

Only individuals included in the booked package will be included in final photos
Studio space is limited; only essential companions are encouraged
For newborn sessions: parents/guardians, siblings, and one (1) caretaker only are allowed inside the studio.

8. NEWBORN PHOTOGRAPHY POLICY

Newborn sessions are best scheduled between 10–21 days old.

Babies older than 3 weeks may still be accommodated, but posing and styling will depend on comfort, size, and cooperation.

Health & Safety Requirements

Newborns must:

Be born full-term (37 weeks or older)
Weigh at least 2,500 grams
Have no known medical complications

Safety First Approach

The baby’s comfort and safety are always the highest priority. No forced posing will ever be performed.

If the baby is uncooperative, unsettled, or unable to pose, the session will still be considered complete based on time and effort rendered.

Final results depend on baby cooperation and condition during the session.

9. MATERNITY PHOTOGRAPHY POLICY

Maternity sessions are best scheduled between 28–34 weeks of pregnancy.

Client Health & Responsibility

The Client confirms they are medically fit to participate in a photography session. The Studio shall not be held liable for any pregnancy-related conditions or complications before, during, or after the session.

Comfort & Safety

All posing is guided and adjusted according to the Client’s comfort and safety. Breaks may be taken anytime.

Final output may vary depending on mobility, comfort, and session conditions.

10. THEME & STYLING POLICY

-Setup time is included in session duration
-Theme changes within 1 hour before session incur ₱150 fee
-No changes allowed within 1 hour of session start
-Costume usage depends on package inclusions
-Client-provided outfits are considered final styling choices
-Additional outfit changes may incur additional fees

11. PHOTO SELECTION POLICY

All selected images are final after the session date. Changes must be made on the same day only.

12. FILE STORAGE POLICY

Unselected images are deleted after 7 days
Online gallery access is available for 30 days only
Clients are responsible for downloading and backing up files

File recovery is not guaranteed.

13. PHOTO EDITING & ENHANCEMENT POLICY

Enhanced photos are delivered within 7–14 working days, depending on package inclusions.

Standard Enhancement Includes:

-Exposure and brightness correction
-Color balancing and tonal correction
-Light skin retouching (blemishes, temporary marks)
-Minor background cleanup
-Cropping and composition adjustment

Not Included:
-Body reshaping or slimming
-Heavy facial reconstruction
-Background replacement
-Object removal beyond minor distractions
-Advanced artistic manipulation

Turnaround Disclaimer

Delivery times are estimates only and may vary due to workload or unforeseen circumstances. Delays do not qualify for refunds or compensation.

14. CREATIVE CONTROL & ARTISTIC STYLE

The Studio retains full creative control over posing, lighting, composition, and editing style.

Reference photos are for inspiration only and do not guarantee identical results.

15. CLIENT & BABY COOPERATION

Final results depend on client and/or baby cooperation. Lack of participation or discomfort does not qualify for refunds, reshoots, or compensation.

16. RAW FILES POLICY

Raw files are not included unless stated in the package. If requested, they may be released for an additional fee and will be delivered in JPEG format only.

Raw files are unedited and do not represent the final studio quality.

17. PRINTS & PRODUCTS

Printed items may require additional processing time depending on supplier availability.

Minor variations in color, tone, or texture may occur due to printing processes and are considered normal.

18. MODEL RELEASE & MARKETING CONSENT

By booking, the Client grants Baby Snapz Studio permission to use selected images for portfolio, marketing, social media, website, and advertising purposes.

If the Client does not consent, written notice must be provided prior to the session.

19. HEALTH, SAFETY & LIABILITY POLICY

The Studio maintains strict hygiene and safety standards. All materials are cleaned and sanitized regularly.

Clients acknowledge inherent risks associated with studio photography.

The Studio shall not be held liable for:

-Illness or injury
-Allergic reactions
-Lighting sensitivity reactions
-Undisclosed medical conditions
-Incidents beyond reasonable control

Clients are responsible for disclosing any relevant health conditions prior to the session.

20. LIGHTING & ALLERGY DISCLOSURE

Professional strobe and flash lighting is used in all sessions. Clients must inform the Studio in advance of any light sensitivity conditions.

Clients must also disclose any allergies to fabrics, props, plastics, food items, or materials used in themed setups.

21. FORCE MAJEURE

The Studio shall not be held liable for any delay, rescheduling, or cancellation caused by circumstances beyond reasonable control, including but not limited to natural disasters, severe weather, power interruptions, government restrictions, or similar unforeseen events.

In such cases, the Studio will extend every reasonable effort to reschedule your session at the next available date.

The Client acknowledges that any personal or third-party expenses made in preparation for the session—such as makeup, wardrobe, rentals, transportation, or similar costs—are arranged independently and are not subject to reimbursement or compensation.

22. INTELLECTUAL PROPERTY

All images remain the exclusive intellectual property of Baby Snapz Studio.

The Studio retains full rights to use images for marketing and promotional purposes.

Clients are granted a personal-use license only.

23. RESHOOT POLICY

Reshoots are not guaranteed and are only offered at the Studio’s discretion in cases of technical failure unrelated to client behavior or session conditions.

24. GOVERNING LAW

This agreement shall be governed by and interpreted in accordance with the laws of the Republic of the Philippines.

25. AGREEMENT

By confirming a booking, the Client acknowledges that they have read, understood, and voluntarily agreed to all Terms & Conditions stated in this contract.
